    Neftaly Guidelines: Sick Leave Documentation

    At Neftaly, we’re committed to maintaining a supportive work environment where health comes first—while also ensuring clear, consistent processes that protect both employees and the organisation.

    To help manage sick leave effectively and fairly, we’ve established guidelines for the documentation required during sick leave. These guidelines are designed to support transparency, ensure legal compliance, and simplify the process for everyone involved.


    ???? Why Documentation Matters

    Proper documentation:

    • Confirms the legitimacy of the leave
    • Helps HR track entitlements and benefits accurately
    • Ensures compliance with the Basic Conditions of Employment Act (BCEA)
    • Supports business continuity through planning and coordination

    ???? What Documentation is Required?

    1. Short-Term Sick Leave (1–2 Days)

    • You may be granted sick leave without a medical certificate, but only up to 2 days at a time, and no more than twice in an 8-week period.
    • Repeated absences without documentation may require a certificate.

    2. Extended Sick Leave (3 Days or More)

    • A medical certificate is required from a registered medical practitioner.
    • The certificate must clearly state:
      • The healthcare provider’s name and practice number
      • Dates the employee is deemed unfit to work
      • The date the certificate was issued
      • Signature of the practitioner

    3. Unpaid Sick Leave or Long-Term Absence

    • Additional documentation may be required, such as:
      • Specialist reports
      • Hospital discharge summaries
      • Fit-for-work assessments (for return-to-work planning)

    ???? How to Submit Sick Leave Documentation

    • Email your documentation to hr@saypro.org
    • Include your full name, employee ID, and dates of absence in the subject line
    • Submit documents within 48 hours of your absence, unless you are hospitalised or otherwise unable

    All medical information is handled with strict confidentiality and is used only for HR and operational planning purposes. Neftaly is fully compliant with POPIA and labour regulations related to employee privacy.


    Tips for a Smooth Process

    • Let your manager know about your absence as soon as possible
    • Use Neftaly’s sick leave form (available on the intranet) for each instance of leave
    • If unsure, reach out to HR before your leave period begins (when possible)
